This year, we'll be electing 4 open seats on the Board of Directors. Board terms are two years in length, and once the new members are seated, the full board will collectively determine officer roles: President, Vice President, Secretary, and Treasurer.

The description is as follows:

The Special Events Coordinator is responsible for organizing, managing, and maintaining ATC’s community presence and special events. This position reports to the ATC Board of Directors.
 

Primary Responsibilities:

  • Point of Contact:

    • Serve as the main contact for ATC Partners and Sponsors.

    • Seek new event partners.

  • Event Management:

    • Organize ATC ambassador tables, booths, and room parties at events.

    • Maintain a list of partner events and ATC resources.

    • Example Events: Midwest Conventions, Twin Cities Pride Festival, Como Park Obon Festival

    • Plan other ATC Events, past ex: Cosplay on Ice, Akihabara Anime Market 

  • Team Coordination:

    • Ensure all planning meetings have scheduled dates, times, and locations

    • Ensure planning meetings attendance is tracked and reported

    • Ensure sufficient staff for events by engaging team members and recruiting volunteers.

    • Collaborate with AD Convention Relations and AD Staffing for Staff Exchanges

  • Communication and Promotion:

    • Collaborate with the Communications Coordinator to promote events.

    • Create and distribute event marketing materials.

  • Administrative Duties:

    • Attend monthly ATC Board meetings to report planning progress

    • Submit the annual event budget and goals.

    • Manage petty cash and event income.

    • Record event attendance and statistics.

    • Maintain event documents on Google Drive.

The description is as follows:

The Anime Detour Coordinator serves as the Convention Chair for Anime Detour and is responsible for organizing, managing, and overseeing all aspects of the Anime Detour convention. The Coordinator reports to the ATC Board of Directors.

Primary Responsibilities:

  • Convention Planning and Management:

    • Run all convention planning meetings

    • Ensure all planning meetings have scheduled dates, times, and locations

    • Ensure planning meetings attendance is tracked and reported

  • Team Coordination:

    • Defines hierarchical structure of the convention, including positions that will fill responsibilities of the chairman when they are unavailable

    • Coordinate the activity of other leadership staff

    • Ensure “on point” shifts are staffed during con operating hours

  • Communication and Collaboration:

    • Primary point of contact for the Convention venue

    • Oversee all communication to Anime Detour staff and attendees

    • Attend monthly ATC Board meetings to report planning progress

  • Financial Oversight:

    • Develop and manage the convention budget with Board approval

    • Work with the Treasurer to ensure all financial transactions are tracked appropriately

  • Attendee Experience:

    • Speak during opening and closing ceremonies

    • Ensure a welcoming and engaging experience for all attendees.

    • Address attendee concerns and resolve issues promptly.

    • Implement feedback from previous conventions to improve future events.

Qualifications include:

  • 3-5 years of convention staffing experience or equivalent professional experience.

  • Previous leadership experience.

  • Good Communication Skills:  Verbal and written.

  • Good time management skills.

  • Must be able to respond to emails in a timely fashion (24-48 hours).

We are excited to announce that our annual Anime Twin Cities meeting is scheduled for May 28, 2024 at 6:30 pm. As part of this event, we will be looking to fill the Treasurer position as well as three Members at Large positions within the organization.

If you are interested in running for the board, we invite you to express your interest by sending an email to atcboard@animetwincities.org. Please note that the deadline for submission is May 21, 2024.

As part of the election process, candidates will be required to provide a brief biography along with a statement explaining their motivation for running, as well as a headshot. These will be posted on the Anime Twin Cities website for transparency and accessibility to our community.

During the annual meeting, each candidate will have the opportunity to deliver a 2-3 minute oral presentation tailored to Anime Twin Cities. Following this, candidates will be open to questions from both the board and the audience. If the number of candidates we receive is judged to be too many to interview during the annual meeting, we will set up additional times before the meeting to conduct the interviews.

Branch Description: Social Outreach Services

The Social Outreach Services team encourages year-round connection and friendship within the anime fan community by organizing and running multiple social events and activities outside of Anime Detour. The SOS team aims to provide monthly social activities and various other gatherings as well as a few larger annual events. These activities generate additional opportunities for fundraising and advertising on behalf of Anime Twin Cities. SOS also sponsors camaraderie among the staff of Anime Detour and Anime Twin Cities at large by hosting social events and parties for ATC, Inc. staff members.

Role Description: Social Outreach Services Coordinator

The SOS coordinator is the leader of the Social Outreach Services team and takes primary responsibility for its activities. The coordinator is tasked with making regular reports to the Board of Anime Twin Cities on behalf of the SOS team, as well as submitting the annual budget and goals for SOS.

Duties of the SOS Coordinator:

● Organize regular meetings of SOS staff.
● Track meeting attendance for the purpose of granting voting rights in ATC, Inc..
● Maintain sufficient staff numbers for the functions of SOS by engaging team members in activity planning and discussions and seeking out additional volunteers as needed.
● Lead the SOS team in scheduling and planning its activities.
● Keep the ATC, Inc. Facebook page, Google calendar, and Meetup.com group up to date with information about upcoming activities.
● Work with the ATC, Inc. Communications Coordinator to promote upcoming events.
● Assist the ATC, Inc. Charities Coordinator in staffing charitable activities.
● Take initiative in encouraging newcomers or shy attendees at events to participate and meet new people. Proactively help all to feel welcome and defuse interpersonal conflicts when possible and appropriate.
● Record event attendance data and other statistics.
● Maintain a Google Drive shared folder of event SOP documents and other information.
● Secure and maintain the SOS petty cash supply and turn over any income from events to the ATC, Inc. Treasurer.
● Manage inventory of SOS supplies at the GPS facility.
● Create and distribute marketing materials specific to SOS.

One of the duties of a coordinator is to attend the monthly ATC board meeting to provide updates on their branch. The meetings take place on the 2nd Tuesday of the month at 6:30 pm. These meetings are currently held digitally, but they most likely will eventually go back to being held at the Waterbury building in Minneapolis MN.

The position descriptions for the openings are as follows:

Charities

- Review and maintain a list of all partner events that ATC attends

- Seek new partners with event that ATC may work with

- Maintain and organize ATC Resources that may be provided by request to support internal and partner events

 

Communications

Responsible to the ATC Board of Directors to organize, manage, and maintain the Public Media Relations face of ATC and its digital footprint.

Primary Responsibilities:

- Organize, Manage, and Maintain ATC Public Social Media Platforms and Relations

- Facebook

- Instagram

- Twitch

- Twitter (currently in limbo)

- YouTube

- Email lists (media newsletter) – Coordinate with Communities Coordinator/ATC Secretary

- More as necessary (found to be of good and decent service to ATC and its face to the community)

– Coordinate with Communities Coordinator with research

- Coordinate with local, state, and above News Media when required

- Collaborate with AD Coordinator when asked about Anime Detour

- Assist the Communities Coordinator with partnership and sponsorship media
